Link contracts to sessions and appointments: automatic data

Contracts connected to your schedule

When you create a manual session or add an appointment directly to your calendar, the process of sending the contract was disconnected: you created the contract on one side and the session sat separately. No link between the two.

With this update, that changes. Now, when creating a contract manually, you can link it to a session or appointment already in your schedule that doesn't yet have a contract assigned.

How to link a contract to a session or appointment

The process is the same as before for creating a contract, with one added step:

  1. Go to Contracts → Signed and click "New contract"
  2. Select the contract template you want to use
  3. In the linking dropdown, choose "Session" or "Appointment" as appropriate
  4. A list of sessions or appointments without a contract will appear. Select the right one
  5. The client and package data fill in automatically
  6. Create the contract

If you don't want to link the contract to anything, just leave the option on "No link" and everything works exactly as before.

Package data in the contract: automatic

When you link a contract to a session or appointment that has a package assigned, the contract automatically includes a summary of the economic conditions, visible both on the client's signing page and in the signed PDF:

DataWhat it shows
PackageName of the contracted package
Date and timeDate and time of the session or appointment
Base pricePackage price
Included photosNumber of photos included in the package
Extra photo pricePrice per additional photo (if applicable)
DepositAgreed deposit amount (if applicable)
Bundle tiersExtra photo blocks with unit price (if applicable)

You don't have to do anything: if the package has that information, it shows up automatically.

Session/appointment column in the contracts list

In the Contracts → Signed table you'll now see a column showing the linked session or appointment with its date. This lets you identify at a glance which job each contract belongs to without opening it.

When revoking, the session is freed automatically

If you need to revoke a contract that is linked to a session or appointment, you don't need to do anything extra. When you revoke it, the link is removed automatically and the session or appointment becomes available again to assign a new contract.

When is this useful?

  • You have manual sessions (not created through the booking system) and want to send the associated contract
  • A calendar appointment didn't have a package assigned when you created the contract and you want to fix that
  • You want the signed PDF to reflect the job's economic details without typing them manually into the contract
  • You need all your contracts linked to their corresponding sessions to keep everything organised
