PhotoHeart will be a system that takes a client from initial booking to final delivery with minimal photographer intervention.

The photographer only intervenes in:

  1. ✅ Confirming deposit payment
  2. ✅ Conducting the photo session
  3. ✅ Uploading photos to the gallery
  4. ✅ Delivering the physical order

Everything else: automatic.

PHASE 1: Appointment Booking

What does the client do?

  1. Enters the photographer's public calendar
  2. Selects available date and time
  3. Fills out form (name, email, phone)
  4. Sees required booking deposit (e.g., €30)
  5. Clicks "Book Appointment"

What happens automatically?

  • ✅ System checks if client already exists in CRM
    • If exists: Links the appointment
    • If doesn't exist: Creates client automatically
  • ✅ Sends email to client with:
    • Booking confirmation
    • Date and time
    • Deposit payment instructions
    • Link to complete data (if missing)
  • ✅ Notifies photographer: "🔔 New booking from Maria Garcia"

Photographer intervention: NONE (only receives notification).

PHASE 2: Deposit Payment

What does the client do?

  • Makes Bizum/transfer with the deposit (€30)
  • Optionally sends proof via WhatsApp

What does the photographer do?

  • Sees the payment notification (or WhatsApp)
  • Clicks "Mark as Paid" in PhotoHeart
  • Enters amount and reference

What happens automatically?

  • ✅ Appointment status changes to "Confirmed"
  • ✅ Email to client: "✅ Payment received, appointment confirmed"
  • Automatic reminder 48h before appointment

Photographer intervention: 1 click.

PHASE 3: Automatic Reminder

48 hours before the appointment:

What happens automatically?

  • ✅ Email to client: "📅 Reminder: Your session is tomorrow at 10:00"
  • ✅ Includes studio address (if configured)
  • ✅ Photographer's phone in case of questions

Photographer intervention: NONE.

PHASE 4: Conversion to Session (1 Click)

After conducting the session:

What does the photographer do?

  • Clicks "Convert to Session"
  • Modal opens with pre-filled data:
    • ✅ Client linked
    • ✅ Calendar package
    • ✅ Date and time
    • ✅ Deposit paid
  • Uploads photos (now or later)
  • Clicks "Create Session"

What happens automatically?

  • ✅ Session created in database
  • ✅ Gallery link generated automatically
  • ✅ Email to client: "🎉 Your photos are ready"
  • ✅ Booking status updated

Photographer intervention: 1 click + upload photos.

PHASE 5: Client Selects Photos

What does the client do?

  • Enters the gallery link
  • Views their photos
  • Selects their favorites
  • Adds additional products if desired
  • Clicks "Finalize Selection"

What happens automatically?

  • ✅ Selection saved
  • ✅ In-app notification to photographer
  • ✅ Email to photographer: "Maria completed her selection"
  • ✅ Email to client: "✅ Selection saved, we'll contact you soon"

Photographer intervention: NONE.

PHASE 6: Selection Reminder (If not finalized)

Photographer sets link expiration date:

When creating the session, the photographer can set an expiration date for the gallery link (e.g., 30 days).

24 hours before the link expires:

What happens automatically?

  • ✅ Email to client: "⏰ Reminder: Your gallery expires tomorrow"
  • ✅ Direct link to gallery
  • ✅ Only sent if client HASN'T yet finalized their selection

Photographer intervention: NONE (configurable if wants to disable).

PHASE 7: Quote and Invoice

After client finalizes selection:

What happens automatically?

  • ✅ System generates an EDITABLE QUOTE:
    • Selected package: €120
    • Additional products: €40
    • Deposit paid: -€30
    • Total pending: €130

What does the photographer do?

  • Reviews the generated quote
  • Can edit if necessary (adjust prices, add/remove products)
  • Clicks "Generate Invoice" manually
  • System sends PDF invoice by email to client

Afterwards:

  • Receives payment from client
  • Marks as "Paid" in PhotoHeart

Photographer intervention: Review + 2 clicks.

PHASE 8: Final Delivery

What does the photographer do?

  • Prepares the physical order (albums, frames, etc.)
  • Marks session as "Delivered"

What happens automatically?

  • ✅ Email to client: "📦 Your order has been delivered"
  • ✅ Review request (optional)
  • ✅ Session status: Completed
